Sorting Records Your Rolodex is limited to an alphabetical (by last name) arrangement, but a FileMaker database has no such limitation. You can sort the records in any order you want, as often as you want. You can even do a sort within a sort, as you’ll see later in this section. Chapter 1: Working with a Database 35 Sorting Records Understanding Sorting Don’t confuse sorting with finding. When you sort, FileMaker doesn’t change the records in your found set. Instead, it rearranges the records you’re viewing into a new order.

If you open the People database that you downloaded at the beginning of this chapter, then you see one database window. ) Figure 1-5: FileMaker’s Open File dialog box is pretty standard stuff, but notice the pop-up menu near the bottom left that helps you find specific kinds of files on your hard drive. If you choose “FileMaker Pro files” as shown here, then all nonFileMaker files in the window below are grayed out, so you can easily ignore them as you’re looking for the database you want to open.

But if I create a new record while I’m viewing a list that’s sorted, I can’t always tell where the new record will appear. Yes, that can be disorienting. The record lands in a different place in the list depending on how your data is sorted. If it’s sorted by Last Name only, and then you duplicate a record that has a lot of the same last names (Sanders, in the People database), then the new record appears at the end of all the Sanders records. But if you have a multisort (page 37) by Last Name and then by First Name, then the duplicate record appears right after the original.
